How does hoptimize invoicing work for the construction industry?

Invoicing is extremely efficient. During a project or at the end of a project, each invoice takes only a minute to complete. It is sent by email to your customer. You can see on your dashboard that your customer has viewed the invoice. Once the payment is received, you simply indicate that the invoice has been paid. And that's all.

How easy is it to see which invoices haven't been paid?

Very easy. You can see it all under the Invoicing tab. For any project or all company invoices. It's easy to track your payments. In addition, hoptimize sends emails to your customers to remind them to pay. Payments are no longer forgotten! And no more awkward phone calls to remind customers to pay!

Does hoptimize allow you to invoice in Cost-Plus configuration?

Yes. In addition to invoicing projects at fixed prices, it allows to automatically invoice in Cost-plus configuration in only a minute. It calculates hours worked by your teams, it totals up all expenses entered (scanned receipts), it enters your chosen profit margin (i.e.: 15%) and sends the invoice by email to your customer.

How can I view a list of paid invoices?

In the invoicing dashboard, you can see which invoices are paid, unpaid or past due. You can then take immediate action.

How does hoptimize's intelligent GPS time stamp work for the construction industry?

The employee only needs to tell you or his/her supervisor. Administrators and supervisors can change times for other employees. As a safeguard, you will clearly see that the time has been modified by the employee's supervisor. When an employee punches in/out at the site, the actions are validated by hoptimize!

What happens if an employee forgets to punch in/out?

Does hoptimize track my employees at all times?

Never! hoptimize only checks the GPS position of the employee when the employee punches in/out. hoptimize never detects employee positions at other times. The purpose is simply to validate times employees arrive and exit sites as agreed.

Does hoptimize allow an employee to work on several construction sites at once?

Yes of course!!! An employee may return to a site, visit another and you can even add up transportation time.

How does the time bank feature work?

Hoptimize will bank and distribute hours in cases where employees exceed or go under a 40-hour work week for example. During a slow week, hoptimize will take hours from the employee's banked hours to make up and pay for a 40-hour work week.

How does the timecards validation work?

Quite simple. Each day, a supervisor at the site or manager at the office validates the team time stamps/punches. All they need to do is to click on the "validate" button. Every week, the administrator or head can view the total weekly hours and approve timesheets for payroll.

Can I send timesheets to my accountant?

Very easily. Timesheets are generated in Excel format. They can then be imported into accounting software or sent to your accountant to process payroll.

Tracking of costs and profits for construction contractors

How does the profits dashboard work?

Quite simple. For project expenses, you simply take photos of receipts (or import pdf receipts). For labor costs, hours are added following hourly rates. Throughout a project, hoptimize displays how much has been spent to date versus income. Current profit is therefore always known.

Can I track budgets for each project and all categories of expenses?

Certainly! Many categories are already integrated (Materials, labor, subcontractors, tool rentals, etc.) and you can also create new categories!

Can budgets be modified during a project?

Yes. Construction industry clients often make modifications to projects. With hoptimize, you can adjust all amounts and accurately track newly established budgets.

Can my employees see budget figures?

Never. Only the administrator or head of company has access to such private information!

Is hoptimize compatible with iPhone and Android?

Yes to both! Hoptimize is compatible with new and older devices. Hoptimize can also run on your computer and tablet.

Does the application cause a significant drain on the phone's battery?

Not at all. The application opens only when needed, and doesn't consume power at any other time.

Do I need to create a password for each employee?

No. When you create an employee's file, you must enter the employee's cell phone number. Hoptimize sends an access code to the employee by text message and that's it. If the employee changes phones, the app can be installed once again and a new access code can be sent by text message. Everything is simple with hoptimize!

Can hoptimize run on my computer or tablet?

Yes of course! Windows or Mac. IPhone, Android, iPads, etc.

Do employees need to pay to download the application?

Never. Downloading the application is free. The employee never needs to make payments. The company makes all payments for the service.

Does the application consume mobile phone data from my employees?

No. Although the application requires the use of mobile phone data, the amount is negligible.
